Review and Export Attendance by Date Range

Review attendance totals for a date range, compare scheduled and actual shifts, correct clock entries, and export the results.

Open the Attendance Report

The Attendance report is available on every POS Time Tracker plan to users with access to the app in Shopify Admin.

  1. Open POS Time Tracker in Shopify Admin.

  2. Go to Reports and select Attendance.

  3. Open the date-range picker, choose your dates, and click Apply. Choose up to 92 days, ending today or earlier. With no dates selected, the report uses the last seven complete days.

  4. Optionally use Select Location to filter the results.

Attendance compares clock activity with published scheduled shifts. Draft schedules are excluded. Clock activity without a matching published shift appears as unscheduled work.

Read the Staff Totals

With no staff filter, each row summarizes one staff member who has scheduled or actual shifts in the selected range. The totals row combines those results.

  • Scheduled Shifts: Published scheduled shifts in the range, including shifts later today.

  • Attended: Scheduled shifts matched to a recorded clock-in, including shifts still in progress.

  • Late Arrivals: Matched clock-ins after the late clock-in grace period. A scheduled shift with no clock-in does not count as a late arrival.

  • Early Departures: Matched clock-outs earlier than the early clock-out grace period allows.

  • No-Shows: Scheduled shifts without a matching clock-in after the no-show delay.

  • Overdue Clock-Outs: Matched open shifts past the clock-out overdue grace period.

  • Unscheduled Shifts: Recorded shifts without a matching published scheduled shift. These are counted separately from Attended.

These counts can overlap: a shift can count as Attended, a Late Arrival, and an Early Departure. They are shift counts, not hours or days worked.

To change the grace periods or no-show delay, go to Settings > Attendance Tracking, adjust the values, and click Save.

Review a Staff Member’s Shifts

  1. Click the staff member’s name in the summary, or choose them in Select Staff Member.

  2. Compare Status, Scheduled Start, Scheduled End, Scheduled Location, Actual Start, Actual End, and Actual Location. A staff member can have multiple shift rows on the same day.

  3. Click All staff to return to the summary while keeping the date and location filters.

Missing actual times are blank. An open shift shows In progress under Actual End. Unscheduled rows have blank scheduled fields and an Unscheduled status prefix. Custom ID is included on the Enterprise plan.

How Dates and Locations Are Assigned

Scheduled shifts belong to their scheduled start date; unscheduled shifts belong to their clock-in date. An overnight shift is counted once, even when it ends outside the selected range.

The location filter uses the scheduled location for matched shifts and the clock-in location for unscheduled shifts. A clock-in at another location can still match a scheduled shift.

Each row uses the scheduled location’s timezone, then the clock-in location’s timezone if needed, then the report timezone. The same timezone determines its date and displays both scheduled and actual times. The report timezone uses the selected location’s override when available, otherwise the store’s preferred timezone or the browser timezone. Dates and times follow the store’s date format.

Correct an Entry and Recheck Attendance

  1. In the staff member’s attendance details, click an Actual Start time to open Edit Shift.

  2. Correct the clock entry and click Save.

  3. You return to the filtered Attendance report. Review the recalculated result.

If a clock-in is missing, open the staff member’s Staff ID link and use Create Shift. See Creating & Editing Shifts for the complete procedure.

Results are recalculated when you load the report using the current published schedules, clock entries, and attendance settings. Later edits can change historical results. Acknowledging an issue on the Dashboard does not remove it from this report.

Export Attendance as CSV

  1. Choose the view to export: the all-staff summary for attendance counts, or one staff member’s details for individual shifts.

  2. Set the date and location filters, then click Export.

  3. In Export CSV, choose the columns to include. All columns are selected initially; keep at least one selected.

  4. Click Export CSV to download the results in the current sort order.

Summary exports include a totals row. Individual-shift exports include the filtered shift rows. Export is disabled when there are no results.

Troubleshooting

  • No attendance activity matches these filters: Check the dates and staff/location filters. Only staff with matching scheduled or actual shifts appear.

  • Only unscheduled work was found: Publish schedules to measure punctuality and no-shows against planned shifts.

  • Date-range warning: Choose valid dates through today, covering no more than 92 days.

  • Too many shifts or too much overlapping shift history: Shorten the date range or select one staff member. The report does not show partial results.

  • Reset filters: Use this action on a warning to clear the staff, location, and date filters and return to the default date range.
