Review Daily Attendance on the Dashboard

Compare today’s published schedule with clock activity, identify attendance issues, and correct time entries from the Dashboard.

Before You Start

  • Attendance Tracking is available in Shopify Admin on every POS Time Tracker plan.

  • The Dashboard shows Attendance Tracking after your store has recorded at least one shift.

  • Attendance classifications compare clock activity with published scheduled shifts. Draft scheduled shifts are not included.

  • Unscheduled clock activity still appears under In Progress or Completed.

Open Attendance Tracking

  1. In Shopify Admin, open POS Time Tracker.

  2. Go to Dashboard.

  3. Use the location selector to choose All Locations or one location.

  4. Review the Status, Staff, Scheduled, Actual, and Location columns for today.

Understand the Tabs

Tabs group shifts by their current state. The same shift can appear in a state tab and in Needs Attention.

  • Needs Attention: Shows shifts with a Late, No show, Overdue clock-out, Early out, or Late / early out status.

  • In Progress: Shows shifts with a recorded clock-in and no clock-out, including late or overdue open shifts.

  • Upcoming: Shows published scheduled shifts without a matching clock-in. A shift remains in this tab when its status changes from Upcoming to Pending, Late, or No show.

  • Completed: Shows shifts with a recorded clock-out, including shifts that also have a late or early exception.

Understand Each Status

The status badge compares a published scheduled shift with its matching clock activity and your saved attendance thresholds. Unscheduled clock activity uses In progress or Completed.

  • Upcoming: The published shift’s scheduled start time is still in the future, and no matching clock-in has been recorded.

  • Pending: The scheduled start time has arrived, but neither the late clock-in grace period nor the no-show delay has passed, and no matching clock-in has been recorded.

  • Late: Either no clock-in has been recorded after the late grace period but before the no-show delay, or the matching clock-in occurred after the late grace period. A late shift keeps this status after clock-out unless it was also clocked out early.

  • No show: No matching clock-in has been recorded after the no-show delay passed.

  • In progress: A clock-in has been recorded without a clock-out, and the shift is not currently late or overdue. Unscheduled open shifts also use this status.

  • Overdue clock-out: A matching clock-in exists, no clock-out has been recorded, and the clock-out overdue grace period after the scheduled end has passed.

  • On time: A matching clock-in and clock-out have been recorded, the clock-in was within the late grace period, and the clock-out was not earlier than the early clock-out grace period allows.

  • Early out: A matching shift was clocked out earlier than the early clock-out grace period allows, and its clock-in was not late.

  • Late / early out: The matching shift was both clocked in after the late grace period and clocked out earlier than the early clock-out grace period allows.

  • Completed: An unscheduled shift has a recorded clock-out. A completed shift matched to a published schedule instead uses On time, Late, Early out, or Late / early out.

Set Attendance Thresholds

  1. Go to Settings.

  2. Find Attendance Tracking.

  3. Enter non-negative whole-minute values for:

    • Late clock-in grace (minutes): Clock-ins after this grace period are marked late. The default is 5 minutes.

    • No-show delay (minutes): A scheduled shift without a clock-in is marked as a no-show after this delay. The default is 30 minutes.

    • Early clock-out grace (minutes): Clock-outs earlier than this grace period are marked early. The default is 5 minutes.

    • Clock-out overdue grace (minutes): Open shifts past this grace period are marked overdue. The default is 30 minutes.

  4. Click Save.

Resolve an Attendance Issue

  1. Open Needs Attention.

  2. Open the row’s Actions menu.

  3. Choose:

    • Edit shift when clock activity exists. Update the time entry, then save to return to the Dashboard.

    • Create shift when no clock activity exists. Add the missing shift, then save to return to the Dashboard.

    • Acknowledge to hide the current exception from Needs Attention without changing any time entry.

Acknowledgements are local: Acknowledging an issue only hides that issue in the current browser for the current store and attendance date. It does not sync to other managers or devices. The issue can appear again if its status or shift state changes.
