Staff do not need Shopify Admin access to use the portal.
REQUIREMENTS
Your Shopify staff account must have an email address on file.
Invited users and collaborators are not supported for portal login.
WAYS TO OPEN THE PORTAL
Option A: From the schedule published email
When a manager publishes the schedule, staff with shifts (and an email on file) receive an email with a "View my schedule" button.
The link in that email opens the portal and pre-fills your email address.
Option B: From a shared staff portal link
Managers can share one portal link that staff can use any time.
HOW MANAGERS GET THE PORTAL LINK
Open POS Time Tracker in Shopify Admin.
Go to Schedule.
Open Actions.
Select Copy Staff Portal Link.
Tip: Put the portal link in a shared place (internal wiki, onboarding doc, etc.).
HOW STAFF LOG IN (MAGIC LINK)
Open the staff portal link in a browser.
Enter your email address.
Select Continue.
Check your email and click the secure magic link.
Notes:
Magic links expire quickly (about 15 minutes). If it expires, request a new link from the portal login page.
If you are already signed in, you will go directly to My Schedule.
WHAT STAFF SEE
My Schedule shows:
- Upcoming published shifts (including location and notes, if provided)
- Shifts grouped by day
Draft schedules are not shown. Only published schedules appear.
Staff only see their own shifts.
Tip: The Staff Portal can show further-ahead shifts than the Schedule smart tile in Shopify POS.
TIMEZONES
Shift times are shown using the location timezone (if configured).
If no location timezone is available, the portal falls back to your store preferred timezone, then your browser timezone.
If times look wrong:
Ask a manager to verify store timezone (POS Time Tracker > Settings).
Ask a manager to verify the location timezone override (POS Time Tracker > Locations > Location Settings).
TROUBLESHOOTING
I did not receive the schedule published email
Try these in order:
1) Confirm the schedule was published (saving a draft does not send emails).
2) Confirm you have at least one shift in that published schedule.
3) Confirm your Shopify staff account has an email address on file (and it matches what you expect).
4) Check spam/junk and search for the shop name or "POS Time Tracker".
I did not receive the magic link email
Try these in order:
1) Check spam/junk and search for the shop name or "POS Time Tracker".
2) Confirm you entered the same email that exists on your Shopify staff account.
3) Ask a manager to confirm your email is set in Shopify staff settings.
4) Request a new link from the portal login page.
I clicked the link but it says "Link expired"
- Go back to the portal login page and request a new link (magic links expire after a short time).
I can log in but I see "No upcoming shifts"
- Confirm your manager published the schedule (saving a draft is not enough).
- Confirm you are scheduled for upcoming days (the portal shows upcoming published shifts).
I can not log in with my email
Possible causes:
- Your Shopify staff user is an invited user or collaborator (not supported for portal login).
- Your email on file in Shopify is missing or different than what you entered.
